Parent or caregiver participation is a core component of our early childhood and Harmony Road group classes.
Enrollment, Automatic Re-Enrollment & Charter Funding
Automatic Re-Enrollment & Opt-Out
Students enrolled in group classes are automatically re-enrolled into the next sequential semester or level unless an opt-out form is submitted.
The opt-out deadline is 30 days prior to the start of a new semester.
This deadline will be clearly communicated in advance of each re-enrollment period.
Families who opt out after the deadline are subject to applicable withdrawal fees.
Group Class Commitment
Enrollment in group classes is a full-semester commitment.
Once a semester begins, no refunds, credits, or early withdrawals are permitted.
Charter School Funding Responsibilities
Families using charter school funds are responsible for securing funding for each semester according to the timelines and requirements of their specific charter school.
Purchase orders must be received before the first day of class for every semester, including subsequent semesters following automatic re-enrollment.
Charter approval timelines are outside of the school’s control. Families are responsible for monitoring deadlines, submitting paperwork on time, and ensuring that tuition and fees are paid in full.
Private Lessons
Private lessons are ongoing, year-round programs.
A minimum of 30 days’ written notice is required to discontinue lessons. Families are responsible for ensuring that the final 30 days of lessons are paid for, either through charter funding or by the family directly if charter funding does not cover the notice period.
Withdrawals, Fees & Summer/Fall Planning
Group Class Withdrawals
Withdrawal fees for group classes are as follows:
Withdrawals more than 7 days before the semester start date
One month of tuition will be charged.Withdrawals less than 7 days before the semester start date, or after the semester has begun
Two months of tuition will be charged.
For simplicity in practice, withdrawals submitted during the final week before the semester start date may be charged the full semester tuition.
If a charter school does not fund withdrawal-related charges, the balance owed must be paid by the family.
Private Lessons, Summer Funding & Notice
If a charter school does not fund lessons over the summer, families are still responsible for:
- Providing 30 days’ notice of their end date, and
- Paying any prorated tuition due during the notice period
If charter funding does not cover part or all of the required notice period, the remaining balance must be paid by the family.
Fall Re-Registration & Annual Registration Fee
Each summer, families will be contacted in July to confirm fall plans.
Private students who wish to continue into the fall must complete re-registration. The annual registration fee applies to all private lesson students and must be paid to reserve a fall lesson spot.
If charter funding does not cover the registration fee, it must be paid out of pocket.
Fall schedules are built during the first week of August. Only students who have completed re-registration and paid the registration fee will be included in fall schedule planning.
Enrollment Commitment & Payment Responsibility
Enrollment with Heart Beats Music School represents a commitment for services for the stated enrollment period.
Families agree to honor their enrollment commitments and understand that tuition and fees must be paid according to the program’s policies, regardless of funding source. If a charter school denies funding due to timing, withdrawal, or policy limitations, the remaining balance owed must be paid by the family.
This guide is intended for charter school parents, teachers, and administrators to reference when selecting and approving music education services.

FAQ
-
Yes. Charter-funded students are automatically re-enrolled into the next sequential class unless an opt-out form is submitted by the stated deadline.
Auto re-enrollment confirms your child’s spot for the upcoming semester.
-
For new enrollments, please submit your charter school funding request as soon as you enroll.
For continuing students, submit your request according to your charter school’s specific deadlines and requirements, which may occur before auto re-enrollment is confirmed.
In all cases, purchase orders must be received before the first day of class.
-
If funding is delayed, we’ll work with you to help identify where the process may be held up.
Our policy requires that purchase orders be received before the first day of class. If funding has not arrived by that time, families may temporarily self-pay until charter funds are received.
Once funds are issued:
The charter may cover the remaining balance, or
If the charter pays in full, we will refund any out-of-pocket amount paid by the family
-
Automatic re-enrollment means that students are continued into the next sequential semester or level unless an opt-out form is submitted by the stated deadline.
This process applies to all families, including those using charter school funds, and confirms your child’s spot for the upcoming semester. Families who do not wish to continue must submit the opt-out form by the deadline provided in re-enrollment communications.
-
Yes. A deposit is required and is typically paid out of pocket by the family.
Charter families may then choose one of the following options:
Have the charter school fund the remaining balance, or
Pay the full amount out of pocket and, once charter funds are received (typically at the end of the semester), we will refund the deposit, or
Arrange with the charter school to reimburse the family directly, while the charter pays the remaining balance to the school
Our office is happy to provide invoices or documentation needed for charter approval.
